The Ventia Boral Amey Joint Venture (VBAJV) is a partnership between three leading organisations which combines internationally recognised asset management expertise with local knowledge and experience to offer world class solutions to their customers. About the role
We are looking for a passionate, and highly motivated Executive Officer to join the team on a permanent basis. Reporting to the Program Director, the role is responsible for support the Program Director and the Senior Leadership team (SLT) with administration and reporting. As a strong communicator you will be also generate and distribute internal communications on behalf of the Program Director and delivering a key consistent message to our stakeholders.
As the Executive Officer, you will be working in a fast paced working environment, requiring you to be adaptable and able to manage many tasks at once, while working with a high degree of autonomy. You will have exceptional customer service skills as you will be working with senior leaders within the business as well as the client.
Further key responsibilities include:
Demonstrating commitment to SHEQ through personal example and behaviours, visible and accountable leadership and participation in monitoring of established working practices
Maintaining productive relationships with VBA JV team, client representatives, customers, contractors and relevant JV departments and other key stakeholders
Build professional working relationship with SLT and provide diary and travel arrangement support/assistance on occasion where necessary
Review and prioritise all incoming correspondence and action appropriately
Support the Program Directors and SLT members in drafting collateral required for key meetings and internal communications
Coordinate VBAJV engagement activities
Manage and track meeting actions to ensure actions are completed, flag any issues with the Program Director
Taking of official Minutes at key senior meetings e.g. JV Board, MRG etc
As a successful applicant you would have the following abilities:
Experience as an executive assistant to a senior manager
Advanced skills in key MS Office tools
Effective interpersonal, liaison and networking skills to resolve conflict amicably
Ability to deal with sensitive and confidential issue in a professional manner
Demonstrated organisational, planning and coordination skills.
Ability to create effective and engaging internal communications
Experience in producing high standard of minutes for senior level meetings
Problem solving and analytical thinking
